Multi-Asset Portfolio Management & Private Client Portal

Introduction

Rakshana Finances, acquired by RR Associates, is a specialised accounting and wealth management firm that has built its reputation serving charity and social welfare organisations across India. With a focused client base of low-volume but high-value accounts, the firm has developed deep expertise in managing the unique financial requirements and regulatory compliance needs of the NGO and religious sectors.

RR Associates approached us to build a bespoke portfolio management system along with a client portal for communication, data management, and compliance tracking. The Challenge

The new ownership aimed to expand into the general public market and recognised the need for a sophisticated portal system to separate their NGO and religious sector clients by providing a dedicated portal with their own relationship managers. Since they often serve high-value clients, the secure portal would allow clients to receive frequent updates about their portfolios, communicate easily, and receive notifications on the go without compromising the personalised support these clients value.

Their existing semi-automated workflow was prone to errors, administrative burden, and reporting inefficiencies. They required a streamlined portfolio management system that would automate most aspects of portfolio health tracking and notify advisors of any predefined anomalies.

The Strategy

Our development strategy prioritised comprehensive automation workflows that could archive overdue items systematically whilst sending automated email notifications for upcoming maturity dates, ensuring that both clients and staff received timely alerts about critical financial deadlines.

Our implementation strategy included extensive testing with existing client data to ensure seamless migration and validation of all calculations and processes.

Our Solution

Portfolio Management System

We developed a centralised portfolio management system that provides a dashboard storing and displaying all client records, assets, maturity schedules, valuation history, and transaction logs. The system applies role-based access controls such that only authorised advisors can edit, review, or approve sensitive financial data. It also tracks portfolio health, asset performance, P&Ls, maturity timelines and alerts advisors whenever a pre-defined anomaly or action item is detected.

Client Portal

We designed a secure portal that gives client a personalised dashboard that displays portfolio health, recent transactions, pending actions, and advisor notes. Clients can request clarifications, access reports, and communicate directly with their relationship managers through an encrypted messaging channel. With a mobile-first design clients can log in from any device and receive real-time updates about their portfolios.

Investment Tracking

Our investment tracking engine continuously monitors all client investments across categories such as fixed deposits, recurring deposits, bonds, and mutual funds. The system automatically calculates maturity dates, highlights upcoming renewals, and computes compounding interest and projected returns. It provides advisors with real-time notifications for maturity and renewal deadlines, asset reinvestment opportunities, and P&L reconciliations, reducing the manual effort previously required to manage diverse investment types.

Reporting Automation

We implemented an automated reporting workflow that identifies overdue actions, maturity events, and compliance requirements. The system sends timely notifications to both clients and advisors, generates monthly performance reports, and delivers them through email and the client portal. This ensures that no deadlines or critical portfolio events are missed and significantly reduces administrative overhead.

Data Migration

We seamless migrated all excel data into the portal and provided comprehensive staff training and established protocols for system monitoring and maintenance through our SLA services, ensuring that the firm could operate the new platform independently whilst having access to ongoing technical support during the expansion phase.

The Impact

The automated portfolio and investment management system significantly enhanced RR Associates’ operational efficiency and supported their strategic shift into the public sector. By eliminating their semi-automated processes, the firm reduced administrative workload and minimised the risk of reporting errors, allowing senior advisors to devote more time towards attracting new clients.

Automated maturity alerts, renewal tracking, and monthly performance reporting improved the reliability of their service delivery and strengthened the personalised support their clients expect.
